OCTOBER 2026 · OLMOS INSIGHTS
Applications Don't Fill Seats. Movement Does.
A practical look at the enrollment journey, from first inquiry to a filled seat, and how to find where families stall along the way.
OCTOBER 2026 · FEATURE
The Enrollment Journey
- Inquiry — a family raises its hand
- Application — interest becomes intent
- Offer — a seat is extended
- Registration — paperwork is complete
- Enrollment — the student is in the seat
Applications are an encouraging signal, but they don't fill seats. Movement does. Every family travels a path from first inquiry to the first day of school, and each step is a moment where momentum can build or quietly stall.
Measure movement between stages
Total counts tell you volume; conversion rates tell you where families are moving. Track the share of inquiries that apply, applicants who receive and accept offers, accepted offers that register, and registrations that enroll. Comparing these rates week over week reveals where your process is working and where it needs attention.
Follow up with every family
Families rarely say no outright—they simply stop moving. Timely, personal follow-up after each stage keeps the conversation warm: a call after an inquiry, a reminder before an offer deadline, a welcome note after registration. Clear next steps reduce uncertainty and help families feel guided.
Find the bottleneck, then act
A bottleneck is the stage where the largest share of families stalls. Use your enrollment data to locate it, then prioritize the one or two actions most likely to restore movement there. Focusing effort on the narrowest point of the pipeline usually does more than broad new outreach.
PUTTING DATA TO WORK
Use Your Enrollment Data to Decide What Comes Next
Your pipeline already tells you where families are moving and where they are stalling. Focus on three practical lenses to turn numbers into clear, prioritized action.
01
Conversion Rates
Measure how many families move from each stage to the next: inquiry to application, application to offer, offer to registration, and registration to enrollment. Compare stages side by side to see where the largest share of families drops off, and start there.
02
Family Follow-up
Track how quickly and how consistently families hear from you after each step. Assign a clear owner for every stage, set response-time expectations, and make each touchpoint personal and helpful so families always know what to do next.
03
Identifying Bottlenecks
Look for stages where families wait the longest or stall entirely, such as incomplete applications or unaccepted offers. Ask what is getting in the way, whether paperwork, timing, or unclear next steps, and remove one barrier at a time.
30-Minute Pipeline Review
Gather your team and your current enrollment data. Work through each step quickly — the goal is clarity, not perfection.
- Count each stage (5 min). Record how many families are currently at inquiry, application, offer, registration, and enrollment.
- Calculate conversion (5 min). Divide each stage by the one before it to see what share of families moved forward.
- Find the biggest drop (5 min). Circle the stage with the lowest conversion — that is your primary bottleneck.
- Check follow-up timing (5 min). Note how quickly families at that stage hear from your team, and who is responsible for reaching out.
- Name the friction (5 min). List the likely reasons families stall there: unclear next steps, missing documents, slow responses, or unanswered questions.
- Commit to one action (5 min). Choose a single change to test this month, assign an owner, and set a date to review the results.
